Find the failure before making the file smaller

A failed upload can mean several things: the file is too large, the format is unsupported, the filename is awkward or the image is unreadable. Repeatedly shrinking it addresses only one possibility and may turn a usable scan into an unusable one. Read the exact on-screen message first.

Keep the original on your own device. Work on a copy and open the exported version before uploading it. A successful export message does not tell you whether the passport numbers, dates and photograph remain legible. Check the document visually at a normal viewing size, including every edge of the biodata page.

Capture the biodata page as a document

Place the passport securely in even light and frame the whole biodata page. Avoid fingers over the text, a reflection across the number or a crop that removes an edge. The aim is a clear record of the genuine page, not an enhanced or reconstructed identity document.

Do not paint over characters, replace a photograph, remove security features or use generative editing to improve the page. If text is obscured, capture it again. For a multi-page PDF, confirm that the correct page is present and that unrelated personal records have not been included accidentally.

After export, compare the file with the document itself and the form. This is a useful moment to catch a mistyped expiry date or an upload from an older passport. A clear scan of the wrong passport does not fix the application.

Prepare the photograph separately

A passport biodata scan and the applicant photograph are separate records. Rwanda's embassy describes a colour photograph with a white background and clearly visible facial features. Check the selected category's current photograph instructions rather than cropping the portrait out of the passport scan and assuming it is equivalent.

Capture the real applicant in suitable light and avoid filters that change their appearance. Keep the original photograph as well as the upload copy. If the source image is already blurry, increasing its pixel dimensions will not restore missing detail. Retake it rather than cycling through compression tools.

IremboGov publishes general examples of a 500 KB JPG photo and 500 KB PDF passport or letter files. It also says attachments differ by visa type. Use those as route-specific preparation guidance, then read the exact current category request. Do not apply them automatically to Uganda or assume that an older embassy PDF defines the digital portal's current technical rules.

The form on this website displays its own supported files and limits. Acceptance here confirms receipt for review, not acceptance by an authority. A reviewer may need another format or further evidence before onward submission. Keep a readable original so you can respond without trying to recover detail from a heavily compressed copy.

Use a simple, confidential file workflow

If the form reports a problem, keep the message and ask support about that existing attempt before sending files through another channel. Do not include passport images or application references in a public social media post. Uploading again should solve a specific problem, not create several conflicting application records.

1. Keep an original folder and a separate folder for upload copies.
2. Use simple filenames such as passport-biodata.pdf without a passport number in the name.
3. Avoid public converter links or shared folders for identity documents; prefer a trusted tool on your device.
4. Open each final file and confirm the person, page, readability and format.
5. Select the matching slot in the application and check the final document summary.
6. Save the application reference confidentially after submission; it is not a public document-sharing link.
