THE SHORT ANSWER
Prepare each traveller separately, including children. Uganda's embassy says regional visa applicants must apply in their own right. A shared family booking does not establish a shared visa or a child fee exemption. Check the child's passport, nationality, accompanying adults and route-specific evidence before choosing the package.

Treat the family as several applicants on one trip
One person often books the flights, pays the operator and handles the paperwork. That is a convenient way to organise a holiday, but it can lead to copying the lead traveller's information into everybody's application. Keep a separate record for each person and verify it against that person's travel document.
The distinction is particularly important for children, mixed-nationality families and relatives who join for only part of the trip. A shared surname, booking reference or payer does not prove that the same entry conditions apply. Uganda's embassy explicitly separates dependants into applications in their own right; national child exemptions must not be assumed to extend to a regional product.

Create a family matrix before opening the forms
Use a local worksheet with a row for each traveller. The blank download is an organisational aid, not a government form. It does not upload your family's information. Keep passport numbers out of public spreadsheets and do not use a shared link to distribute application references.
| Check for each person | Why it needs its own answer | Keep separately |
|---|---|---|
| Travel document and nationality | Family members may hold different passports. | The person's biodata scan and photo |
| Arrival and departure | One adult or child may travel on a different flight. | Their actual itinerary |
| Accompanying adults | Parental responsibility and travel arrangements may differ. | Any evidence specifically requested |
| Application reference | Each record needs to remain identifiable. | EAV reference and any later authority reference |
| Payment status | A receipt for one record does not prove all are paid. | Verified payment for the matching record |
Ask the child-specific questions before paying
Do not rely on a general claim that children travel free, or that every family must upload the same consent form. We have not established one universal minor-document checklist across all issuing routes. The required evidence can depend on the child's nationality, the country of departure, who accompanies them and the issuing authority.
Prepare these questions for the relevant authority or carrier: Does the child need a separate permission for this exact route? What evidence of parental responsibility or consent applies to these accompanying adults? Are originals, translations or certification needed? Does the return journey introduce different requirements? Record the answer for the actual circumstances rather than treating a sample letter as sufficient.
- One parent travelling: clarify any consent or responsibility evidence for the trip.
- An adult who is not the parent: clarify the authority to accompany the child.
- Different family names: ask how the relationship should be evidenced if requested.
- A child with a different nationality: check their entry conditions separately.
- A school or organised group: do not assume a regional individual visa and a national group category are interchangeable.
Budget per applicant and check each record
Our displayed regional application package is charged per applicant, with the government fee included. Use the current cost calculator for the number of travellers who actually need this service. A family of four does not mean that one application price covers four people, and a country-specific exemption should be checked before buying an unnecessary regional service.
Complete one person's form, save the reference and check the recorded payment for that same application before organising the next. Our site records application receipt and payment separately. The application reference, payer and traveller need to remain associated correctly; payment is not a family-wide approval.
Review together, then submit accurately
If a family member already has an application here, ask support about the existing record before creating a replacement. Do not send passport scans through an ordinary support message unless a secure document step has been arranged. Our application upload is the place for the requested identity documents.
- Compare every traveller's passport and photo with their own form.
- Check that the first-entry route is correct for every person, including anyone arriving separately.
- Resolve child-specific evidence questions before assuming the pack is complete.
- Compare shared bookings against individual arrival and departure dates.
- Save each application reference confidentially and track each recorded status separately.
Questions & answers
Can I add my children to my own regional application?
Prepare an individual application record for each traveller. Uganda's embassy says all regional applicants must apply in their own right. Confirm child-specific evidence with the authority for the selected route.
Is a birth certificate always required?
This research does not establish a universal birth-certificate rule for every regional application. Ask about the child's nationality, accompanying adults, departure and entry conditions before assuming a particular document is mandatory or sufficient.
Is one successful payment enough for the whole family?
Check the application and payment record for each traveller. Our package price is per applicant; a payment confirmed for one application does not mark every family member paid or approved.
